Description

• Welcome staff, mentors, mentees, and guests to the office. • Manage the building guest system for smooth entry and notify relevant staff of guest arrivals. • Receive and distribute mail and packages, and manage the service freight elevator for vendor deliveries. • Answer and direct calls, serving as a gatekeeper to minimize unwanted solicitations. • Monitor the info@imentor.org email and forward to appropriate staff. • Assist in organizing and resolving Operations & IT tickets on ZenDesk. • Liaise with building management to ensure satisfactory facilities maintenance. • Handle daily facilities maintenance including stocking private bathroom/snacks/coffees/teas. • Manage all ordering systems for NYC/National office including snacks, event supplies, bathroom/kitchen supplies etc. • Contact building management for new and replacement access cards & add cards to internal system. • Assist HR with new hire onboarding, ensuring staff are added to necessary systems. • Provide office tours for new staff and visitors. • Arrange seating and equipment setups for new hires. • Distribute hardware and coordinate with IT for new staff setups. • Manage internal technology tracker to ensure all laptops and cell phones are accounted for. • Troubleshoot and provide tier 1 IT support for individuals, conference spaces and shared devices and oversee all staff technology and peripherals. • Reconcile credit card statements and submit invoices for the Operations team. • Assist the Finance Team with check collection, deposits, and mailing. • Occasionally assist with organization-wide and external initiatives and events, including some paid evening or weekend hours.

Benefits

• Pay rate of $30/hour before taxes and other deductions • 16-24 hours weekly (will vary week to week) • This is a part-time, hourly, in-person, non-exempt position • Schedule: Monday and Wednesday, 9:00 am – 6:00 pm (with an unpaid hour for lunch); a third day on either Tuesday or Thursday approximately two weeks out of each month. • Paid sick time will accrue at a rate of 7 sick days annually
